Teeniors™ Administrative Assistant (Contract Position)

ABOUT US
Teeniors™ is a small New Mexico startup with both an LLC and a non-profit arm. Our mission is connecting tech-savvy teens with senior citizens through personalized, one-on-one, tech coaching. Our goal is to empower older adults to connect with their loved ones, engage with their community (and the world) through technology, while also providing paid, meaningful jobs for teens and young adults. OPPORTUNITY
Part-Time Administrative Assistant | $10 per hour, 20-25 hours/week | (Hours TBD between 8am-7pm, weekdays including the option of Saturdays)

In this busy role, you will work closely with the founder of Teeniors and essentially serve as her “right hand” in day-to-day operations. You will quickly be patched in to assist on communications via e-mail, phone and text with clients, our young coaches, and outside inquiries. This includes, but is not limited to, coordinating Teeniors’ coaching sessions, group event details, and answering questions from outside organizations and people. You will progress to assisting in social media, workshops, and be the first line of contact for outside people communicating with Teeniors™.

What We're Looking For
  • Friendly and patient personality
  • Highly organized​
  • Strong attention to detail
  • Flexible, able to multi-task and prioritize needs on a daily basis.
  • Familiar with (or a desire to learn) software like Google docs/spreadsheets, Gmail, Mailchimp (possibly progressing to Quick Books) 
  • Experienced with basic admin tasks (email, spreadsheets, phone and text communications, etc)

Primary Responsibilities
  • Administration / Operations - handle all new inquiries, maintain calendar and meetings, handle CEO and clients' needs; assist in creating frameworks and templates; draft documents, forms, templates, etc. You will also create joint system to keep track of tasks and to-do lists.
  • Oversee Client & Teenior Databases - maintaining current database of (16) coaches and various clients; keeping aware of who’s who and their various skill sets, assess which clients need follow up each week. Eventually handling new 'teenior' applicants / arranging interviews, eetc.
  • Communications -  you will be the hub of communication for our team; screening and prioritizing e-mail inquiries and phone calls; handling data entry; logging and tracking new clients, monitor teeniors' schedules; prepare CEO for meetings / updates, organize and maintain files.
  • Continued Education - eventually updating your own learning by participating in educational opportunities like webinars and events.
  • Assist with other administrative tasks as needed (i.e. thank you cards, christmas cards, etc.).

  • Be reliable, punctual and able to work alone most of the time.
  • Be interested in learning new skills
  • Be personable and comfortable dealing with all ages and personalities
  • Be experienced in administrative / customer service tasks (planning meetings; verbal and written communications; professionalism in phone calls and email; creating documents, etc.)
  • Have experience or desire to learn with online / web tools.
  • Have an ability to adapt to a busy, evolving startup environment. We believe in testing out new ideas to improve our workflow​.
